The Property Manager and the Condominium Insurance Policy

Handling the property manager insurance policy involves comparing insurers, reviewing coverage and managing the annual renewal, but the final decision always rests with the assembly. Here is how this task works and why it matters for the safety of the building.

Among the less visible but more delicate tasks of running a building is the work behind the property manager insurance policy, meaning the set of activities that lead to choosing, taking out and renewing the coverage that protects the common areas. This is not a purely bureaucratic step: a policy chosen carelessly can leave the building exposed to significant financial risk in the event of a claim, while coverage properly calibrated to the actual characteristics of the building meaningfully reduces the impact of unexpected events such as fires, flooding or partial collapses.

Who actually decides on the policy

The property manager has no independent authority to take out or change the condominium's policy: that decision belongs to the assembly, which resolves on the basis of one or more proposals that the manager is responsible for gathering and presenting. The manager's role is therefore that of technical instructor of the matter: identifying insurers, requesting quotes, comparing coverage and limits, and bringing the assembly a clear picture on which to decide. The exception is ordinary management of an existing policy, such as paying the annual premium, which falls within ordinary administration.

The comprehensive building policy and its typical coverages

The most common policy in Italian condominiums is the so called comprehensive building policy, a contract that bundles several guarantees into one instrument: third party liability for damage caused by common areas, fire and related events, water damage from plumbing, and sometimes glass breakage and lifts if dedicated coverage is included. Each insurer structures limits and deductibles differently, so comparing proposals cannot stop at the annual premium alone but must consider what is actually covered and up to what amount.

Annual renewal and periodic checks

At renewal, the manager should verify that the data on which the policy was calculated are still correct: the building's rebuilding value, any extraordinary works that changed its structure, the presence of new systems such as lifts or automatic gates. A building that has undergone a major renovation without the policy being updated risks, in the event of a claim, compensation calculated on values that are by then outdated. Renewal should therefore not be an automatic operation but a genuine review of the contract terms.

Handling claims

When an event covered by the policy occurs, the manager is the person who opens the claim, gathers photographic evidence and repair quotes, and follows up with the insurance surveyor through to settlement. Because of its specific nature and the time it requires, this activity is often listed as an extraordinary service in the management quote, separate from the base fee for ordinary administration. It helps for the condominium to know in advance how this activity is compensated, to avoid misunderstandings precisely when a claim is already underway.

  • Third party liability for common areas
  • Fire and weather related events
  • Water damage from burst or leaking pipes
  • Additional coverage for lifts and building systems
  • Limits and deductibles to compare across proposals

The mandatory insurance for the manager

Separate from the building's policy is the professional liability insurance that the manager must carry by law while performing the role. This is a different instrument, protecting the condominium against errors made by the manager in the course of management, and it is worth checking at the time of appointment alongside the economic quote.

A policy chosen carefully today avoids difficult discussions tomorrow, once the claim has already happened and there is no going back.

Comparing proposals at the assembly

To bring the assembly an informed decision, it helps for the manager to present quotes in comparable form, with the same items highlighted for each insurer: premium, limits, deductibles, main exclusions. Owners rarely have the technical background to read an insurance policy in detail, so the quality of the summary the manager prepares directly affects the quality of the final decision.

Digital tools supporting insurance management

Managers who oversee several buildings benefit from keeping policy expiry dates, documentation for open claims and the renewal history in a single digital archive, so no deadline is ever missed and up to date comparisons can always be brought to the assembly. With AmministraPro these documents stay organised for every building managed, also making it easier to retrieve files during an audit or when an owner requests information. Readers who want to see how this part of management works can check the features page, while plan and pricing details are gathered in the pricing section.
