The Manager's Availability and Contact Channels
The manager must make their details and contacts known and ensure effective contact. Here is what the law requires and how to organise availability.

A condominium manager must be effectively reachable by owners. Article 1129 of the Italian Civil Code requires them to display, at the point of access to the building or of greatest common use, their details, domicile and contacts, including telephone. Beyond this minimum obligation, sound administration requires clear contact channels and defined office hours: existing on paper is not enough, a real dialogue must be guaranteed with those who entrust the management of the common parts.
The duty to make details and contacts known
The law requires the manager's data to be displayed in an accessible place, so that anyone, an owner or an interested third party, can identify whom to contact. The name or business name, domicile and useful contact details must appear. This obligation protects certainty in relationships: a supplier, an owner or a public office must know whom to deal with on condominium matters.
Effective, not merely formal, availability
Providing a number and an address is not enough if the manager then turns out to be effectively unreachable. The mandate relationship implies that the professional responds to requests within a reasonable time and is available to handle emergencies too. A manager who is systematically unreachable fails their duties and may be exposed to liability, as well as risking removal from office by the meeting.
Office hours and organisation
Setting office hours, in person or remotely, helps to organise the work and gives owners a clear reference. Some firms indicate dedicated days and time slots, others handle appointments on request. In any case, communicating methods and times in advance avoids the expectation of constant availability and reduces tension.
- State the hours or the way to book an appointment with the manager.
- Distinguish the channels for ordinary communications from those for emergencies.
- Provide an emergency contact, for cases such as system failures or flooding.
- Clarify the average response times for non-urgent requests.
Which contact channels to use
Alongside the telephone, email, certified email for communications with legal value and online private areas are now widespread. Having several channels is useful, provided they are managed in an orderly way: an owner should not discover that the only valid route was the one they did not use. It is good practice to indicate which channel to use for each type of communication, reserving certified email for acts that require proof of receipt.
Handling emergencies
Condominium emergencies, such as a water leak or a lift breakdown, do not wait for office hours. The manager must provide a way to be reached in urgent cases, directly or through a contact person, and to trigger the necessary interventions. The ability to respond promptly to emergencies is an integral part of the service and a factor owners weigh when renewing the appointment.
Availability and change of manager
When the appointment ends, contact details must be updated and continuity ensured: the condominium must know whom to turn to during the handover. Leaving owners without a reference, or keeping outdated details on display, causes confusion and possible disruption. Transparency about contacts is a duty in this phase too.
