The essential features of a condominium platform

Every vendor presents dozens of features, but only some are truly essential for managing a condominium in line with the law. Telling the essential from the optional avoids two opposite mistakes: paying for a package bloated with tools you will never use, or choosing a cheap solution that then leaves you exposed on the features you need every day. The essential features revolve around the manager's duties set out in Articles 1129 and 1130 of the Italian Civil Code: accounting and the financial statement, meeting management, tracked communications, the resident registry and data protection. This guide ranks them by priority to help you evaluate a platform on what matters.

The features you cannot work without

  1. Accounting with allocations across multiple tables and automatic year end adjustments
  2. A financial statement compliant with Article 1130 bis, with ledger, financial summary and explanatory note
  3. Management of the dedicated building bank account required by Article 1129
  4. Meeting notices with deadline calculation and minutes with quorums and proxies
  5. An updatable resident registry required by Article 1130 number 6
  6. Tracked communications, with integrated certified email for legally binding acts
  7. Arrears management with reminders and payment status per unit
  8. A resident area or app that shows each owner only their own data
  9. Document archiving linked to the individual building
  10. Data security measures and support for GDPR obligations

Accounting and the financial statement: the core

The most important feature is accounting, because the financial statement is a legal obligation and the document by which the manager is judged by residents and by a court in case of dispute. The software must handle allocations across different tables, calculate year end adjustments, and produce the financial statement in the form required by Article 1130 bis, which calls for an accounting ledger, a financial summary and a concise explanatory note on the management.

Linked to this is the management of the dedicated building bank account, mandatory under Article 1129: transactions must be traceable and reconcilable with the accounting, so every owner can verify how funds were spent. Without these two features the platform does not perform its primary task, and no optional feature can make up for them.

Meetings: notice, minutes, proxies

Meeting management is the second essential feature. The software must calculate the notice lead time, generate the agenda, and, in the minutes, calculate the quorums required to open the meeting and to pass a resolution in first and second call under Article 1136, which change depending on the subject of the resolution. It must also handle proxies respecting the limits set by Article 67 of the implementing provisions based on the number of participants.

Structured minutes, with attendance, shares represented and the outcome of each vote, are not a nicety but a safeguard: if a resolution is challenged under Article 1137, the searchable history allows reconstructing what was resolved and with which majorities. Meeting management is therefore a compliance feature, not just a convenience.

Tracked communications and the registry

The manager must be able to communicate in a tracked way for acts with legal value, such as notices and overdue payment reminders: integrated certified email avoids manually cross referencing an external mailbox with the resident registry and keeps receipts linked to the building. Ordinary communications, on the other hand, can travel on lighter channels such as email or notifications, provided they stay distinct from the legally binding channel.

Linked to communications is the resident registry, which Article 1130 number 6 requires to be kept and updated with owners' data, cadastral data and the safety conditions of common parts. A platform that keeps the registry updated and links it to accounting and mailings avoids misalignments that the manager would otherwise pay for with hours of manual work.

Arrears, resident area and documents

Arrears management is essential because it affects the building's liquidity: the software must show payment status per unit, generate reminders and keep track of actions taken, supporting the manager in the recovery provided for by Article 63 of the implementing provisions. A resident area or app drastically reduces phone calls, because each owner independently checks their own position and the shared documents.

The permission level here is essential: each owner must see only their own data and the shared building documents, never the accounting position of others, consistent with the GDPR data minimization principle. Document archiving linked to the individual building, finally, allows finding minutes, budgets and contracts years later without searching through scattered folders.

What is useful but not essential

Many features are valuable but optional, and their absence does not stop the work: calendar integration, management statistics and charts, customisable letter templates, planned maintenance management, advanced debt recovery modules. These are tools that save time and become important as the office grows, but they should be assessed after verifying that the essential features are solid.

The practical criterion is simple: first check that the compliance features, accounting, meetings, communications, are complete and reliable, then look at the added conveniences. AmministraPro covers the essential features and pairs them with optional tools in higher plans; the features and pricing pages show what is included at each level, so you do not pay for modules your office does not need.

Frequently asked questions

What is the single most important feature in condominium software?

Accounting with a financial statement compliant with Article 1130 bis. It is the legal obligation by which the manager is judged and potentially held liable, and no other feature can replace it. Software that handles allocations, adjustments and the statement well but is weak on optional features remains usable; the opposite is not. That is why accounting should be verified first, on real data, before looking at everything else.

Is integrated certified email really essential, or is a separate mailbox enough?

A separate certified email mailbox is legally valid, but keeping it disconnected from the platform means manually cross referencing mailings and receipts with each building's registry, work that multiplies at every meeting. Integration does not add legal value, which certified email already has, but it removes friction and reduces the risk of traceability errors, which is why a structured office considers it among its essential features.

Does a small office need the same features as a large one?

The essential features are the same, because they derive from legal obligations, which do not change with the size of the office: accounting, financial statement, meetings, communications, registry and data security are needed even by those who manage few buildings. What changes are the optional features, such as managing multiple collaborators or advanced statistics, which become useful only when volume grows.

How do I avoid paying for features I will never use?

Compare plans by looking at what is included, not just the price: a plan rich in advanced modules can cost more without giving you value if you manage few buildings with standard needs. The right choice starts from the essential features and adds optional ones only if they answer a real need of your office, avoiding both the bloated package and the too bare solution.

Is maintenance management an essential feature?

It is very useful but optional: its absence does not prevent managing in line with the law, while its presence helps track interventions, insurance deadlines and system certifications. It becomes important in buildings with many systems or in complex condominiums, where the volume of deadlines makes relying on memory or separate spreadsheets risky, but it remains a later level compared to the compliance features.
