How to enter opening cash and bank balances in your software
When you import an already managed condominium into a new software, you are not starting from scratch: there is money in the bank account, possibly a cash fund, a reserve fund, and receivables from owners in arrears. The opening balance is the accounting snapshot of your starting point, and if you enter it wrong every later statement will be skewed. This guide explains how to set the opening date, which amount to record for cash and bank, how to treat the reserve fund under Article 1135 of the Italian Civil Code, and how to reconcile available cash with open receivables and payables, so the first financial statement reflects reality rather than a forced number.
Choosing the opening balance date
An opening balance only makes sense when it is anchored to a precise date, usually the first day of the new financial year or the date you take over the mandate. Every transaction recorded in the software will start from that day, while everything that happened before stays consolidated in the opening balance. Choosing a mid month date complicates bank reconciliation and should be avoided where possible.
The correct documentary references are the bank statement at the chosen date and the handover report from the outgoing manager. If the condominium changes manager mid year, align the software opening date with the handover required by Article 1129 of the Italian Civil Code, so the two sets of accounts do not overlap.
Separating cash, bank and funds
A condominium's available cash is not a single number. It should be split at least into physical cash, if still used, and the balance of the dedicated condominium bank account, which Article 1129 requires as a separate account. In the software these are distinct payment resources, each with its own opening balance, because every collection and payment will then be posted to the correct one.
The reserve fund and special funds resolved by the owners' meeting, such as an extraordinary works fund under Article 1135, are not extra money: they are an earmarked portion of cash already present. They must therefore be recorded as restrictions or as equity items, not added a second time to the bank balance, otherwise the real availability would appear inflated.
Reconciling cash, receivables and payables
A correct opening balance respects a simple identity: available cash plus receivables from owners must equal payables to suppliers plus the condominium's net equity, that is funds and surpluses. If the bank account shows a certain amount but there are unpaid invoices and uncollected instalments, those values must be entered as separate open items, not merged into the bank balance.
In practice, proceed in order: first the cash and bank balance from the statement, then the prior arrears owner by owner, then the supplier invoices still to be paid. Only when these three blocks match the equity declared in the last approved statement is the starting point reliable.

How do I treat the reserve fund in the opening balance?

Can I change the opening balance after I have started recording?
It is possible but not advisable: changing the opening balance after recording transactions or issuing allocations shifts every later calculation and may require re communicating amounts to owners.
