Automatic bank reconciliation for condominium accounts

Reconciling the condominium account means comparing every movement on the bank statement with the instalment collected or the expense paid that it refers to, so that the accounting balance always matches the real balance at the bank. Done by hand, for a manager who handles dozens of buildings, this is slow and error prone: a transfer with an unclear reference lands on the wrong unit and the owner's position stays incorrect for weeks. Automatic reconciliation reads the movements of the dedicated current account, recognises amount, date and reference, and proposes the match with the corresponding instalment or invoice. The manager confirms the doubtful cases instead of entering everything from scratch. In AmministraPro this process feeds the condominium accounting directly, keeping each unit's position up to date.

Why manual reconciliation does not scale

A medium sized condominium produces dozens of movements each month between quota collections, payments to suppliers, bank charges and internal transfers. Multiplied by the number of buildings managed, they become hundreds of lines to check one by one against the accounting ledger that Article 1130 of the Italian Civil Code requires the manager to keep. Every line read by eye and copied over is an opportunity for error.

When a match fails, the effect does not stay in the books: the instalment shows as unpaid even though the owner has already paid, an unjustified reminder goes out and a dispute begins. Timely reconciliation is the foundation of a reliable financial report and of correct handling of arrears.

How automatic matching works

The system acquires the movements of the condominium account, through statement import or a secure banking connection, and for each movement looks for the most likely match in the ledger: amount, value date and reference are compared with the expected instalments and with the invoices to be paid.

Clear cases are matched and proposed for confirmation; ambiguous ones, such as a lump payment covering several instalments or an amount that does not add up to the cent, are flagged to the manager to decide. Automation reduces the volume, it does not remove control over the exceptions.

  • Instalment collection matched to the correct unit and allocation plan
  • Supplier payment linked to the invoice and expense item
  • Bank charges and fees recorded as account outflows
  • Lump or partial payments flagged for manual allocation
  • Movements without a match highlighted as to be checked

The effect on the owner's position and on reminders

The value of automatic reconciliation shows downstream. When a payment is matched immediately to the right instalment, the individual owner's position is always current and automatic reminders go out only to those who are genuinely late. Without this step, notices risk being sent on outdated balances and generating avoidable conflict.

An always balanced account also strengthens the relationship with the owners' meeting: at the annual report the figures shown match the bank statement, and every movement is traceable back to the reference that generated it, consistent with the reporting duties of Article 1130-bis of the Italian Civil Code.

What to check before relying on automation

Automatic reconciliation is only as reliable as the data and rules that govern it. A current account dedicated to the single condominium, as required by Article 1129 of the Italian Civil Code, is the operational precondition: without separated accounts the matching becomes uncertain. Allocation plans and unit records should also be verified, because the system matches against what it finds recorded.

  • Current account in the condominium's name and separate from other portfolios
  • Instalment plans aligned with the budget approved by the meeting
  • Transfer references that carry a recognisable link to the unit
  • Periodic review of movements left unmatched
  • Access to accounting data limited to the roles that need it

Frequently asked questions

Does automatic reconciliation replace the manager's oversight of the account?

No. It automates the matching of clear movements and cuts repetitive work, but exceptions, such as lump payments or amounts that do not add up, still need manual confirmation. The manager keeps the responsibility of verifying that the accounting balance matches the bank statement, as required by the reporting duties of the Civil Code. Automation reduces the volume of checking, it does not remove it.

Do you need a dedicated condominium account for it to work well?

Yes, and it is a legal duty anyway. Article 1129 of the Italian Civil Code requires the manager to route the condominium's funds through a specific account in the condominium's name. This separation is also the technical precondition of automatic reconciliation: if movements from several portfolios mix on the same account, matching becomes uncertain and loses most of its value.

What happens to a transfer with a wrong or missing reference?

The system cannot attribute it with certainty and flags it as a movement to be checked, rather than forcing an incorrect match. The manager assigns it manually to the correct unit and the position updates. Asking owners to include a clear reference, with the unit identifier, significantly reduces the number of cases to handle by hand.

Is access to the condominium's banking data compatible with the GDPR?

Accounting and payment data relate to identified people, so they must be handled under the GDPR principles of data minimisation and purpose limitation. The connection to the movements must use secure tools and access to the information must be limited to the roles that need it for management. Reconciliation uses the data only to match income to instalments, not for further purposes.

Is automatic reconciliation included in the software?

It depends on the plan. AmministraPro integrates movement reconciliation into the condominium accounting, so income and expenses update the units' positions directly. The available features are described on the /funzioni page and the coverage of each plan on the /prezzi page.
